The Nonprofit Database Audit Checklist: 12 Things to Review Every Year

A nonprofit database audit is the fundraising equivalent of an annual physical: uncomfortable to schedule, easy to postpone, and consistently the highest-ROI thing your development shop can do. Below is the 12-point checklist we use as the starting scope for every audit engagement, whether the client is on Raiser's Edge NXT, Salesforce NPSP, Bloomerang, or DonorPerfect.

Constituent data

1. Duplicate constituent rate: how many active records look like other active records? Anything over 3% needs a merge campaign.

2. Address quality: percentage of active records with a valid, deliverable primary address in the last 24 months.

3. Email and phone coverage: percentage of active records with at least one valid email address, and how recently those were confirmed.

4. Deceased and 'do not solicit' flags: are they applied consistently, and does your query logic actually respect them?

Gift & pledge data

5. Gift entry consistency: sample 50 gifts from each processor and check appeal, fund, and campaign coding against your policy.

6. Pledge balances: reconcile open pledge balances against finance, and flag pledges older than five years for write-off review.

7. Soft credits: verify soft credit rules for spouses, matching gift companies, and DAF sponsors.

8. Recurring gifts: how many failed in the last 12 months, and what's your recovery workflow?

Coding & structure

9. Code tables: how many active values in each table, and how many haven't been used in 24+ months?

10. Attribute categories: are attributes being used as designed, or as a dumping ground?

Reporting integrity

11. Board report reproducibility: can two staff members independently reproduce the same total from the same source of truth?

12. Reconciliation with finance: do fundraising totals match Financial Edge (or your GL) at month-end and year-end?

What to do with the results

The point of the audit is not the score — it's the prioritized remediation plan. Most organizations can address the top three issues in a single quarter and see immediate lift in reporting speed, appeal ROI, and staff sanity.
